How to Manage and Invite Users from the Waitlist

When a session is full and a spot becomes available, you can manually invite interested participants from your waitlist. The platform gives you full control over who to invite and when.

1. Monitor Waitlist Status

Open Registrations Waitlist

You can quickly identify which sessions have interested participants from your main management view.

  • Navigate to the Manage menu and select your program category.

  • Sessions with a full roster and active interest will display a Waitlist activated status in the Registrations column.

2. Access the Waitlist Dashboard

To see the specific names of interested participants, you must enter the session's administrative area.

  • Click into the specific session from your manage list.

  • Select the Waitlist tab at the top of the session dashboard.

  • Here you will see a list of all accounts and athletes that have joined the waitlist, along with the date they joined.

3. Send a Manual Invitation

Because there is no automatic queue or digital notification system, you must manually choose who to invite when a spot opens up.

  • Locate the participant you wish to invite in the list.

  • Click the Send invite button in the Actions column for that individual.

  • The participant's status will update from Waitlisted to Invited, and they will receive an email allowing them to complete their registration.

4. Manage Pending Invitations

If a user does not respond or if you need to revoke an offer, you can manage the active invitation.

  • Resend: Click Resend invite if the user needs the registration link again.

  • Rescind: If you wish to cancel the invitation and offer the spot to someone else, click the Three Dots (โ‹ฎ) icon and select Rescind invitation.
